Courier management software in India: buy a ready-made tool or get one built?

· 7 min read

The docket book is on the counter. The outward register is in the back office. Rider updates arrive on a WhatsApp group, and COD totals live in a notebook. Then a customer calls: "Where is my parcel?" Three people check three places, and nobody is sure.

Most courier companies in India run this way for years. At some point, the owner starts to search for courier management software. The search results are confusing. Some tools are for online sellers, some are monthly subscriptions, and some companies offer to build one for you.

This guide explains what courier management software should do, the three kinds you will find, and how to choose the right one for your company.

What courier management software should do

Use this list as a checklist when you see a demo. A good system follows a parcel from the booking counter to the doorstep, and records each step.

  1. Booking. Staff enter sender, receiver and boxes, and the system issues the docket number.
  2. Bulk booking. Large clients send their orders as an Excel sheet, and staff book all of them in one step.
  3. Labels. The consignment label and box stickers print from the parcel page.
  4. Dispatch. Parcels go on an outward register for a truck, with a manifest for each bag.
  5. Receiving. The destination branch scans the boxes on arrival and flags missing or short boxes.
  6. Delivery runsheets. Branch staff make the day's delivery list, assign a rider and set the order of stops.
  7. Rider app. The rider sees each stop, calls the customer with one tap, and records proof of delivery with a signature, a photo and the location.
  8. Cash on delivery. The system records the COD each rider collects and the COD that partner couriers return to you.
  9. Partner hand-over. Where you do not deliver yourself, a vendor manifest gives parcels to a partner courier.
  10. Customer messages. Sender and receiver get updates on dispatch, on the day of delivery and after delivery.
  11. Roles. Each branch sees its own parcels. Managers and the owner see everything.
  12. Reports. Daily registers, pending deliveries, COD due and a dashboard for the owner.

You may not need all twelve on day one. But if a tool cannot do the ones that cost you money today, it is the wrong tool.

Three kinds of "courier software" in India

When you search for courier software, three very different products appear. Know which one you need before you book a demo.

Shipping aggregators

Platforms such as Shiprocket help online sellers send parcels through many courier companies. A seller compares rates, prints a label and books a pickup. These platforms serve people who send parcels. They do not run the branches, riders and registers of a courier company.

Ready-made courier management software

These are products that many courier companies use, for a monthly fee. You will find them on software directories and on IndiaMART. They cover the common flow: booking, tracking, runsheets and reports. Some have free plans for very small teams.

Custom-built software

A software team builds the system around how your company works: your branches, your routing, your clients and your partner couriers. You pay more at the start. In return, the system fits your process, and you own the code and the data.

When ready-made software is enough

Start with a ready-made tool if most of these are true:

  • You run one branch, or a few branches with the same process.
  • Your riders deliver in one city.
  • You do not hand parcels to partner couriers, or you do it rarely.
  • Your clients book one parcel at a time, not in large sheets.
  • You can change your process to fit the tool.

A ready-made tool costs less, and you can start this month. Ask for a free trial, and test it with one real day of bookings before you pay for a year.

When a custom build makes sense

A custom system makes sense when your way of working is your advantage, and a template would force you to change it. These are the usual signs:

  • You have a network of branches or franchises, and parcels move between them by pincode.
  • You hand parcels to partner couriers, and you need to track the COD they owe you.
  • Your large clients send orders in their own Excel format every day.
  • Each client has its own rates or rules.
  • You tried a ready-made tool, and your team still runs half the work on WhatsApp.
  • You want the data and the software in your company's name, not in a vendor's account.

If three or more of these are true, get a quote for a custom build before you sign a long subscription.

Questions to ask any vendor

These questions work for a ready-made product and for a team that offers to build one.

  1. Can I export all my data at any time, in Excel?
  2. Does the rider app work on a low-cost Android phone, and on a weak network?
  3. What happens when a rider has no signal at the moment of delivery?
  4. How does the system settle COD from riders and from partner couriers?
  5. Who pays for WhatsApp and SMS messages, and how much does each message cost?
  6. Who do I call when something breaks, and how fast do they answer?
  7. If I stop paying, what happens to my data?

A good vendor answers all seven in writing. Be careful with any vendor who avoids the questions about data.

An example: Shri Karni Logistics

Shri Karni Logistics is a courier company with branches, hub staff, riders and partner couriers. Bookings, branch routing and parcel tracking were done by hand.

We built one system for the whole flow. Branch staff and managers use a web portal for bookings, bulk booking from a client's Excel sheet, dispatch registers and reports. Hub staff and riders use an internal app to scan boxes, complete the day's runsheet and record proof of delivery. Where Shri Karni does not deliver itself, a vendor manifest gives the parcels to a partner courier, and the system records the COD that the partner returns.

The runsheet also closes by itself once every parcel on it is delivered. That is a small detail, but it removes one more job from the end of a long day.

You can see each step on the Shri Karni Logistics case study.

What changes the cost

Every quote for courier software depends on a few things. Knowing them helps you compare quotes fairly.

  • The number of branches and user roles
  • A rider app, and whether it must work offline
  • Connections to partner couriers or to your clients' systems
  • The number of WhatsApp and SMS messages you send each month
  • Reports and dashboards beyond the basic set

For a ready-made tool, also check the price per user or per parcel. It looks small at the start and grows with your volume. For a custom build, ask for a written price before work starts, and ask what the monthly cost of hosting and messages will be.

Common questions

Is there free courier management software?

Yes. Some tools have free plans or free trials. They suit very small teams with local delivery. Before you move your data into one, check the limits on parcels and users, and check that you can export your data.

Do riders need an app?

Riders who make many stops a day gain the most from an app. It shows the stop list and records proof of delivery, so the office makes fewer calls. If your staff work only at the counter, a website that works on a phone may be enough.

Can the software connect to partner couriers?

It depends on the partner. Some couriers offer a way for other systems to book and track parcels with them, and some do not. Where there is no connection, a vendor manifest and a COD record still keep your side of the hand-over clean.

Do I own the software?

With a ready-made tool, you rent it, so check how you get your data back. With a custom build, the code, the hosting and the data should be in your company's name from day one. We explain how in Do you own your app's code?

Where to start

Print the checklist at the top of this guide. Mark the steps that cost you the most time or money today. Take that list to every demo, and ask each vendor to show those steps first.

If the ready-made tools cannot do your marked steps, a custom system is worth a conversation. This is the work we do on web platforms. Tell us what you want to build. We reply within a day. Start my project
